The work scales with the number of clients you track, not with how many people look at it. Charging per seat would penalise inviting the colleagues who sit in the calls, which is exactly what makes the tracker accurate.

What counts as a project
An active project is one workstream running for one client — a launch, a readiness push, a renewal. An account with two workstreams in flight counts as two; an account whose work is finished counts as none.
Archived accounts stay readable for their history and cost nothing. That is deliberate: the reason accounts are the root object is that what happened last year is what you need at renewal, and a tracker that charges you to keep it teaches you to delete it.
